Identify the responsible parties
State the tenant, property contact, on-site contact, and person authorized to approve charges. Describe whether the equipment belongs to the tenant or building owner when known. The contractor’s estimate should name the actual contracting party. A referral request does not decide responsibility under a lease.
Give each building a clear scope
Use building, suite, loading court, and bay identifiers. Separate occupied-site repair from vacant-unit turnover, planned replacement, or recurring maintenance. Include access restrictions and the required service window. This lets a provider scope the visit without assuming that every opening at the property has the same condition.
Create a repeatable approval record
Request the assessment charge, repair authorization process, service documentation, and invoice requirements before work. Keep photos supplied with permission, approved scopes, and service records by property and equipment identifier. Use comparable scopes when requesting more than one maintenance proposal.
