Create one inventory with site-level identifiers

Use a unique site name and bay identifier for every position. List doors, operators, levelers, restraints, and dock protection separately where possible. Record unknown makes or models as unknown rather than guessing. Keep equipment counts distinct from loading-position counts: one bay may contain several assemblies. Separate urgent work from the program

List equipment that is currently down before proposing a maintenance schedule. Planned visits should not be used as a substitute for assessment of an active fault. Request comparable deliverables

Ask each provider to define included inspection and service work, documentation, exclusions, parts charging, approval thresholds, and response arrangements for work outside the program. Request pricing by site or equipment group so changes in the inventory can be understood. Establish whether travel, reporting, and return visits are included. Response commitments should be agreed with the actual provider.

Measure repeat faults and total spend

Keep records of service dates, outages, repair approvals, costs, and follow-up recommendations at bay level. Review repeated faults and equipment with rising repair spend. Compare the program’s stated deliverables with the records received. A maintenance contract is more useful when it creates an equipment history that supports repair-or-replacement decisions and annual planning.
